Summary:
Seeking an experienced part-time production manager. Assist with all aspects of producing a concert (~30 jazz concerts a year) including stage set up, lighting, backline instruments and liaising with sound engineer and videographer. Additionally, the position will assist with the “front of the house” on day of the concert, including check-in and ticket sales, patron services and coordination of personnel/volunteers and front office equipment. Some marketing and social media and other administrative responsibilities. We are a small company and therefore, while each employee has a focus, we all jump in to cover various responsibilities.

This historical Jazz Club is located in Half Moon Bay and has presented world class jazz, classical and world music for over 50 years on Sunday afternoons. It is a non-profit organization.

Job Description Detail:
Concert Production Management

  • Manage the production of each concert including:
    • Stage set up
    • Rent equipment as necessary
    • Coordinate with sound engineer
    • Advance artists -Communicating in advance to ensure artists have all information they need including directions, load-in and sound check time, hotel information if applicable and any special requests
    • Book rooms as per rider at local hotel
    • Purchase snacks and drinks per rider/manage volunteer to do so
    • Coordinate meals for artists with caterer
  • Assist with artist’s offers, contracts, and riders
  • Liaise with artists on rider and backline needs
  • Maintain backline instruments
  • Set up stage lighting and have a general knowledge of how to operate.
  • Coordinate with and work closely with sound engineer and videographer
  • Ensure facilities are set-up, including chair placement, non-stage lighting, bathrooms, set-up of other lounges, music during intermission, exterior grounds
  • After concert, assist with shut-down of facility including ensuring all backline is properly stowed.

Front Door Management

  • Manage the staff and volunteers to do the following:
    • Patron check-in, will call and the sale of tickets at the door.
    • Manage comps, seat exchanges and all non-standard transactions and ensure all patrons are seated satisfactorily, efficiently and logically.
    • Ensure all Door Procedures are followed.
    • Ensure all equipment including Ipads, Iphones, lap top and related software is operational before doors open.
    • Manage CD sales.
    • Reconcile ticket sales, cash and CD sales at end of concert.
    • Prepare deposit and take to the bank.
  • Ensure all volunteers are properly assigned to their roles and manage them on the day of concert.
  • Assist with Customer Service during the week
  • Assist with Member and Fundraising Events
  • Ensure all licenses are up to date.
  • Assist in other areas as necessary and as time allows.

Marketing:

  • Assist with creating copy for website and mailing materials.
  • Communicate with media to inform them of each new series.
  • Update various websites with new season programs including Facebook, KCSM Datebook, All About Jazz, HMB Review, Spin go.
  • Social Media-Post schedule to Facebook (Twitter and Instagram and others as appropriate) a couple of times a week including upcoming concerts and photos from prior week.
  • Post and deliver the Post Cards/Flyers outside, to various local businesses and around town.

Skills and Experience Required:
Candidate must have BA in music or at least 5 years of related experience, preferably both. General knowledge of lighting systems and sound systems, music instruments, and assembly of instruments. Excellent computer skills including familiarity with Word, Excel and Microsoft Outlook and Social Media. Comfortable with Ipad, Iphone and laptop computers. Great communications skills. Good with numbers. Knowledge of Paypal, VBO, Mailchimp a plus. Must be able to lift 50 lbs.
